1. Data we collect
We collect account details (name, email), company details, and the employee and payroll data you enter to run payroll. KikaCalc calculator entries are not stored or logged.
2. How we use it
Your data is used to provide the payroll service: calculating pay and statutory deductions, generating payslips and reports, and managing your subscription. We do not sell your data.
3. Employee data
As the employer, you are the data controller for your employees' personal data (including KRA PINs, NSSF and SHIF numbers, and bank details). Access is restricted to authorised users of your company account and, for limited self-service fields, the employee via the Employee Portal.
4. Security
Data is stored securely with access controls and row-level isolation between companies. Passwords are hashed and portal PINs are never visible to administrators.
5. Analytics
We use privacy-respecting, aggregated analytics to understand usage and improve the product. Analytics data is not linked to individual payroll records.
6. Your rights
You may request access to, correction of, or deletion of your account data at any time via the in-app support button or admin@kikapayrollapp.com, in line with the Kenya Data Protection Act, 2019.
